CRM Case Study
Based in Virginia, the Cowpasture River Preservation Association (CRPA) is a citizen-formed, volunteer organisation and a not-for-profit corporation that focuses on educational and water quality monitoring programs about the river, advocacy, fellowship, and outreach. It was the variety of roles and activities that led the association to look for a system that could help store all its data and successfully share updates and information with all of its supporters and volunteers.
Moving to cloud-based CRM
Steve Van Lear, Membership Chairman, CRPA, “As a not-for-profit organisation run by volunteers it can be difficult to find systems that are not only cost effective but that are also simple and easy to learn, as we have many people using them. We used to use ACT but we found that it was extremely cumbersome and too difficult for new volunteers to pick up. It was this that led us on the hunt for a new CRM system that was not only cloud based but also simple to use. We soon came across Really Simple Systems and after conversations with the team there, they kindly agreed to donate the system to us as a gesture of good will.”
The association is one of the eldest in Virginia and has been active for over 40 years. With this history behind it, the CRPA has a huge amount of supporters and volunteers that it likes to keep updated on a regular basis. Van Lear continues, “We like to keep all of our supporters up to date on our progress and activities, therefore we use the email functionality of Really Simple Systems quite a lot. We aim to send out an email newsletter to a few hundred people at least once a month and with Really Simple Systems we can do this simply and quickly.”

Van Lear also quoted the attentiveness and knowledge of the support team at Really Simple Systems as another benefit. He said, “The system is so simple as the name suggests, but when there are things you just can’t grasp the support team is amazing. I have spoken with them on a couple of occasions and each time they responded very quickly and were able to help me fix my issue speedily and easily. I would go as far as saying they provide the best service I have had from a company, ever.”
